Privacy Policy

Last updated: August 30, 2026

This Privacy Policy explains how CapVoxa handles information when you use the CapVoxa iPhone application, floating-caption extension, official website, and support services (together, the “Services”).

CapVoxa does not require you to register a sign-in account with a name, email address, or password. To provide usage allowances, entitlements, device continuity, and abuse prevention, we still generate an anonymous device identifier and maintain service records associated with it. “No registration required” therefore does not mean that all data remains only on your device.

1. Scope and principles

This Policy applies to the applications, website, and customer support provided by CapVoxa. It does not apply to third-party websites you visit through the in-app browser or to other independently operated services.

Our guiding principles are to:

  • process only the information needed to provide translation, captions, notes, voice features, and purchase entitlements;
  • not sell personal information or share it for third-party targeted advertising;
  • distinguish cloud processing from on-device storage; and
  • provide clear permission prompts and deletion controls for sensitive features.

2. Information we process

2.1 Speech, conversations, and captions

When you use conversation translation, face-to-face mode, earphone translation, speaker translation, or floating captions, the Services process microphone audio or system audio playing on your device, along with the source text, translation, and text used for spoken output.

Depending on the mode and available capabilities, audio may be processed by Apple Speech Recognition or Soniox real-time speech services. Text used for speech synthesis may also be sent to Soniox. The floating-caption extension currently processes system audio; it does not capture screen images or microphone audio.

Real-time content is generally processed within the current session. It is stored on your device only when you choose to save a note or recording.

2.2 Text translation, OCR, Object Translate, comics, and AI notes

Text you enter, text recognized on your device from images, comics, or webpages, and transcripts you select for AI notes are sent through our server-side interface to Google Gemini for translation, organization, summarization, or follow-up generation.

When you use Object Translate, CapVoxa lifts or crops the subject you confirm on device; if you choose whole-image recognition, it uses the whole image. The image content needed to recognize objects, create bilingual names, and generate notes is sent through our server-side interface to Google Gemini for processing.

CapVoxa currently uses Apple Vision to recognize text in photos, documents, and comics on your device. For text, OCR, and comic text translation, the original photo is not sent to Google Gemini for text translation; we send the recognized text and the context needed to complete the request. Object Translate, as described above, sends the subject crop you confirm or the image content needed for whole-image recognition.

2.3 Photos, documents, comics, object word cards, and third-party webpages

When you use camera translation, photo import, comic translation, or Object Translate, original images and processing caches generally remain on your device. A translated image, sticker, or object word card is written to your Photos library or saved in CapVoxa notes only when you expressly choose to save it.

When you visit or import a third-party webpage through the in-app browser, your device communicates directly with that website. The third party may receive your IP address, browser information, cookies, or other request data under its own privacy policy. CapVoxa does not control those third-party practices.

2.4 AI voice cloning

Voice cloning requires separate consent and a short voice sample. The recording is sent to Soniox to create a synthetic voice used only to speak your own translations in CapVoxa. The recording, consent record, and voice identifier are also stored in the application storage on your device and are excluded from the app’s iCloud backup.

You may provide only your own voice or a voice for which you have explicit authorization. You can delete a cloned voice in Settings at any time. This removes the local recording and consent record and sends a request to the speech provider to delete the corresponding synthetic voice. Unused temporary recordings are periodically removed from the device.

2.5 Anonymous device and service profile

When you first use the Services, we generate a random device identifier and store it in the iOS Keychain. Our servers may keep an anonymous user number associated with that identifier, together with:

  • platform, device model, and operating-system version;
  • app version, build, language, and region settings;
  • time-zone offset; and
  • an industry or use case that you choose to provide.

The Keychain identifier may survive deletion and reinstallation of the app unless the relevant Keychain data is erased, the device is reset, or you contact us with a deletion request.

2.6 Feature usage, allowances, and purchase entitlements

To calculate allowances, restore purchases, maintain subscription entitlements, and prevent abuse, we process the feature type, session identifier, usage count or duration, allowance balance, settlement state, and Apple-provided product identifiers, transaction identifiers, subscription status, and expiration time.

Apple processes payments. We do not receive or store your full payment-card number, payment password, or Apple ID password.

2.7 Support and communications

If you contact support, we process the email address, issue category, description, attachments, app version, device details, and anonymous user number needed to investigate and respond.

2.8 Website and preferences

The official website stores language and color-theme preferences locally in your browser. It uses Vercel Analytics and Speed Insights to understand page traffic and performance. Vercel and our hosting or security services may receive standard network information such as IP address, user agent, request time, page path, and approximate region.

Optional Google Analytics measurement

If you allow analytics, the website loads Google Analytics 4 to measure page visits, traffic sources and clicks on App Store links. Events include the page identifier, language and button position, not speech, photos, translations or conversations from the app. We do not enable Google advertising personalization or Google Signals. Declining does not affect the website. You can withdraw through “Analytics preferences”; this stops subsequent GA4 events and clears accessible Google Analytics cookies on this site. Withdrawal does not automatically delete information already sent; contact the support address below for related requests. Google processes this website usage information as the analytics provider.

3. How we use information

We use information to:

  • provide real-time speech recognition, translation, captions, object recognition, speech output, voice cloning, and AI notes;
  • save notes, recordings, favorites, translation results, stickers, and object word cards that you choose to keep;
  • calculate free or paid allowances, verify purchases, and restore entitlements;
  • configure the Services for your language, industry, and device capabilities;
  • diagnose crashes, latency, connectivity, and compatibility issues;
  • respond to support, deletion, and rights requests;
  • detect fraud, automated abuse, security incidents, and violations of our Terms; and
  • comply with law, resolve disputes, and protect users and the Services.

We do not use your conversations, photos, voice sample, or AI notes to build advertising profiles for third parties.

4. Service providers and disclosures

We provide the information necessary to complete a specific task to the following processors:

  • Soniox for real-time speech recognition, translation, speech synthesis, and voice cloning;
  • Google Gemini for text translation, object recognition and bilingual naming, translation of OCR, comic, or webpage text, and AI notes and summaries;
  • Supabase for server-side interfaces and infrastructure supporting anonymous device profiles, usage, entitlements, and support requests;
  • Apple for device permissions, some speech recognition, on-device Vision text recognition and subject lifting, StoreKit purchases, and platform capabilities; and
  • Vercel for website hosting, traffic analytics, and performance monitoring.

These providers may process information only as needed to provide services, maintain security, or meet their legal obligations. Providers, models, or infrastructure may change as the Services evolve. If a change materially affects your rights or how your content is processed, we will update this Policy and provide appropriate notice.

We may also disclose necessary information to regulators, courts, professional advisers, or transaction participants when required by law, to protect users or the Services, investigate fraud or unlawful activity, or complete a corporate reorganization or asset transfer. We will not reduce applicable privacy protections because of a corporate transaction.

5. Local storage, cloud processing, and retention

On your device

Notes, recordings you choose to save, favorites, imported comics, image caches, translation results, object stickers, object word cards, floating-caption state, voice samples, and consent records may be stored on your device. You can remove them through the deletion controls in the app. Uninstalling usually deletes information in the app container, but a Keychain identifier and device backups may remain under Apple’s system behavior.

In the cloud and service records

Real-time audio, text, and generation requests are processed by service providers for the time needed to perform the requested function. Providers may retain limited operational logs under our arrangements with them, security requirements, and applicable law. CapVoxa does not separately save the complete audio, photo, or text from every translation in its business database merely to build a content profile about you.

Anonymous device profiles, usage, allowances, transaction entitlements, anti-abuse data, and support records are retained as needed to provide the Services, maintain financial and security records, resolve disputes, and comply with law. No single period applies to every record. When information is no longer needed, we delete, anonymize, or restrict it.

Deleting the app does not cancel an Apple subscription and may not delete anonymous entitlement and transaction records on our servers. You can request deletion through the email below. We may retain some records for transaction verification, fraud prevention, dispute handling, or legal requirements.

6. Legal bases and international transfers

Where applicable law requires us to identify a legal basis, we generally process information:

  • to perform our contract with you and provide requested features;
  • with your consent for microphone, camera, Photos, speech recognition, screen broadcast, or voice cloning;
  • for our legitimate interests in maintaining security, improving reliability, and preventing abuse; and
  • to comply with tax, payment, consumer-protection, or other legal obligations.

Our providers may process information outside your country or region. We use contractual, technical, and organizational measures required by applicable law to protect cross-border processing. Data-protection rules in another jurisdiction may differ from those where you live.

7. Your choices and rights

You can:

  • turn off microphone, speech-recognition, camera, Photos, or notification permissions in iOS Settings, although the related feature will then stop working;
  • delete local notes, recordings, favorites, translation results, object stickers, object word cards, and cloned voices;
  • manage or cancel a subscription in Apple subscription settings and use Restore Purchases in the app;
  • change website language and theme or clear browser site data;
  • contact us to request access to, correction of, deletion of, or a copy of information linked to your anonymous device identifier; and
  • where applicable, request restriction, object to processing, withdraw consent, request portability, or complain to your local data-protection authority.

To prevent impersonation, we may verify a request using device identifiers, transaction information, the support email, or another reasonable method. Withdrawing consent does not affect processing that was lawful before withdrawal.

CapVoxa does not sell personal information or “share” it for cross-context behavioral advertising. If those terms have a special meaning where you live, you may still submit an applicable opt-out request through our contact email.

8. Security

We use measures such as HTTPS/WSS encryption in transit, short-lived service credentials, the iOS Keychain, server access controls, row-level permissions, and data minimization. Voice-cloning recordings and consent records are excluded from the app’s iCloud backup.

No system can guarantee absolute security. Protect your device credentials, avoid saving highly sensitive conversations on a shared device, and do not rely on CapVoxa as the sole channel for emergency or high-risk communications. Contact us promptly if you suspect a security incident.

9. Children and other people’s privacy

CapVoxa is not directed to children below the minimum age for digital services where they live. We do not knowingly collect a child’s personal information without appropriate guardian consent. If you believe a child has provided information, contact us so we can delete it.

Before using recording, captions, translation, or voice cloning, you are responsible for obtaining any consent required from conversation participants and voice owners and for complying with local recording, monitoring, biometric, publicity, copyright, and privacy laws.

10. Changes to this Policy

We may update this Policy when features, providers, or legal requirements change. We will provide notice of material changes in the app, on the website, or by another reasonable method and update the date at the top. Review the changes before continuing to use the Services.

11. Contact us

For privacy questions, rights requests, or complaints, contact:

To help us respond, use “CapVoxa Privacy Request” in the subject line and describe your device, request type, and any in-app anonymous identifier or related transaction information, if applicable. Do not send full recordings, identity documents, or payment credentials by ordinary email unless we specifically request them through a secure method.
